1. Introduction
This Vendor Payment Policy outlines the terms and conditions for processing payments to vendors on the IndiaBuyon platform (https://indiabuyon.in/) following the delivery of parcels to customers. IndiaBuyon operates as an e-commerce marketplace facilitating transactions between vendors and customers. This policy ensures timely and fair payments while protecting against potential losses from returns. All payments are processed electronically via bank transfer or other approved methods.
The policy is effective as of November 20, 2025, and may be updated periodically. Vendors will be notified of any changes via email or the vendor dashboard.
2. Key Definitions
- **Delivery**: The successful handover of the parcel to the customer or the designated delivery partner, confirmed via tracking update or proof of delivery (POD).
- **Customer Claim Period**: The timeframe (2 days from delivery) during which the customer can report issues or initiate a return.
- **Return**: A parcel returned by the customer for reasons such as damage, wrong item, or non-receipt, processed within the 2-day claim period.
- **Unclaimed Parcel**: A parcel marked as delivered but not claimed by the customer within the 2-day period.
- **Payment Hold Period**: The initial 2-day window post-delivery during which payments are held pending any customer claims.
3. Payment Processing Timeline
Payments to vendors are released based on the status of the parcel post-delivery. The process prioritizes customer satisfaction while ensuring vendors receive funds promptly.
3.1 Standard Payment Release
- **Hold Period**: Upon confirmed delivery, the vendor payment will be held for **2 calendar days** to allow for any customer claims or returns.
- **Release Condition**: If no claim or return is initiated by the customer within the 2-day period, the payment will be automatically released.
- **Release Timeline**: Vendors will receive full payment (minus platform fees, taxes, and any deductions) **within 24 hours** after the 2-day hold period ends.
- Example: If delivery is confirmed on Day 0 at 10:00 AM, the hold ends on Day 2 at 10:00 AM. Payment will be processed by Day 3 at 10:00 AM.
2 Handling Returns or Claims
- **If a Claim/Return is Initiated Within 2 Days**:
- The payment will remain on hold until the return is resolved (e.g., parcel received back at vendor's warehouse and inspected).
- Resolution Timeline: Returns must be processed by the vendor within 3 business days of receipt.
- Payment Adjustment: If the return is approved, the vendor will be refunded only the returned item's value (minus return shipping fees). The adjusted payment will be released within 24 hours of resolution.
- If the claim is rejected (e.g., customer error), full payment will be released within 24 hours of rejection.
- **Late Claims**: Claims reported after the 2-day period may be reviewed case-by-case but will not automatically trigger payment holds unless fraud or delivery error is proven.
3.3 Unclaimed Parcels
- If the parcel is delivered but not claimed by the customer within the 2-day period (e.g., refused at door or left uncollected), it will be treated as a successful delivery.
- The vendor will receive full payment within 24 hours after the hold period, provided no return is initiated upon re-delivery attempts (if applicable).
- Vendors are responsible for coordinating re-delivery if instructed by IndiaBuyon logistics.
4. Payment Amount and Deductions
- **Base Amount**: 100% of the order value (excluding shipping fees charged to the customer).
- **Deductions**:
- Platform commission: [To be specified, e.g., 5-15% based on category].
- Shipping and handling fees: As per the vendor agreement.
- Taxes: GST or applicable taxes withheld at source.
- Penalties: For late shipments, quality issues, or policy violations (up to 10% of order value).
- **Minimum Payment Threshold**: Payments below ₹500 may be aggregated and released monthly to reduce transaction fees.
5. Payment Methods and Verification
- **Supported Methods**: Direct bank transfer (NEFT/RTGS/IMPS), UPI, or wallet credits.
- **Vendor Requirements**: Vendors must maintain updated bank details in the dashboard. Payments will be disbursed to the registered account.
- **Dispute Resolution**: Any payment discrepancies must be reported within 7 days of release via the vendor support ticket system. IndiaBuyon will investigate and resolve within 5 business days.
6. Responsibilities
Vendor Responsibilities
- Ensure accurate order fulfillment and packaging to minimize returns.
- Respond to return requests within 24 hours.
- Track shipments and provide POD if requested.
IndiaBuyon Responsibilities
- Confirm deliveries via integrated logistics partners.
- Notify vendors of holds, releases, or disputes via email/SMS/dashboard.
- Process payments securely and transparently.
7. Exceptions and Force Majeure
- Delays due to holidays, banking issues, or technical glitches may extend timelines by 1-2 days.
- In cases of force majeure (e.g., natural disasters), payments will be handled on a case-by-case basis.
- Fraudulent activities may result in immediate payment holds and account suspension.
